How to print a presentation: detailed instructions

When the word “presentation” is mentioned, the imagination of most people immediately draws a projector, a special canvas for it and a large audience. But it does not have to be electronic. In some cases, you just need to duplicate the presentation file on paper. Our article will tell you how to print a presentation and save on paper.

Varieties of printing methods

PowerPoint is not only a tool for creating slides. Use it to print a presentation in at least three ways:

  • plain;
  • in the form of cards for listeners;
  • in the form of notes.

In the first case, the slide document is printed according to a simple rule: 1 slide - 1 sheet. This method is usually used in higher education as part of the design of an explanatory note for the thesis.

The second way, how to print the presentation, comes down to creating A4 cards, on which the speech plan is very compactly placed. When used correctly, this method allows you to display the presentation on paper with significant savings.

The third way is to help the speaker. It allows you to create auxiliary cards. They are a thumbnail of a slide with notes next to it. The latter are added using the text box below each slide.

This operation is only available for the second and third methods of how to print the presentation. The template settings for them are located in the "View" tab and are called up when you click on the "Sample notes" and "Sample output" buttons. Each of them opens another tab on the toolbar.





Parameters that can be configured:

  • The orientation of the card and the thumbnail of the slide on it: landscape or portrait.
  • The number of slides on 1 card is for issue samples only.
  • The location of the thumbnail and notes for it is only for sample notes.
  • Header and footer fields, print date, and sheet numbering.

Printout presentation

To print a PowerPoint presentation as expected, you need to follow a simple algorithm:

  • Open a previously created file or save the latest edits in an editable one.
  • Call the main menu of the slide editor using the "Office" or "File" buttons.

  • In the list that appears, click on the "Print" line. You can also immediately call up the print dialog with the key combination Ctrl + P.
  • In the first drop-down list, select a printer.
  • By rearranging the labels in the "Range" block, select the slides for printing: everything, current or selectively. In the latter case, you need to enter serial numbers in the line. If you need slides that go out of order (1, 3, 16, etc.), then list them separated by commas.

  • If not all are needed, but they go one after another in the file, then the number of the first, last is written in the line and a dash is placed between them.
  • In the "Print" drop-down list, one of the templates is selected: all slides, notes, structure and output patterns.

After setting all the parameters, the "OK" button is pressed. And then the printer will begin to process the user's request.

There’s only one method for printing a PowerPoint presentation, but thanks to its flexible settings, it’s enough to complete most everyday tasks.
